Terms of service
These terms apply when a club, society or group ("you", "the club") uses My Club Hub ("we", "us"), provided by My Club Hub. By creating a club site you agree to them on the club's behalf, and you confirm you're allowed to.
1. The service
We provide a hosted website for running your club: member records, joining and renewals, committee tools, and any extra modules you choose. Your site runs at its own address on my-clubhub.com (or a domain you connect). We look after hosting, updates, security and backups.
2. Your account and your committee
- The person who signs up becomes the club's first administrator. Administrators decide who else can manage the site and what they can see.
- Keep logins private. You're responsible for what happens under your club's accounts, and for removing access when someone leaves the committee.
- Tell us straight away at [email protected] if you think an account has been misused.
3. Price, trial and payment
- You pay a monthly price made up of the base plan plus any modules you switch on. The current price for your club is always shown on your site's Billing page.
- New clubs get a free trial. No card is needed to start. If no card has been added when the trial ends, the site is paused until one is.
- Payments are taken monthly in advance by card through Stripe. Changes to your modules are prorated.
- We may change our list prices with at least 30 days' notice. Your club keeps its current price until then.
- If a payment fails, we'll tell you and retry. If it still can't be collected, the site may be paused until the balance is paid. Paused sites are not deleted.
4. No contract, cancel any time
There is no minimum term and no setup fee. You can cancel at any time from the Billing page; the site stays available until the end of the period you've paid for. We don't give refunds for part months.
5. Your data
- Your club owns the information you put into the site, including your members' personal data. For that data, your club is the controller and we are the processor, acting only on your instructions. Our privacy policy explains how we handle it.
- You're responsible for having a lawful basis to hold your members' data and for telling them how the club uses it.
- When you cancel, you can ask us for an export of your club's data within 30 days. After that we delete it, apart from backups, which expire on their normal cycle, and anything we must keep by law (for example, billing records).
6. Acceptable use
Don't use the service to break the law, send spam, store content you have no right to, attack or overload the service, or try to reach another club's data. We may suspend a site that does, and we'll tell you why.
7. Availability and changes
We aim to keep the service running all the time, but we can't promise it will never be interrupted, for example during maintenance or a problem with a supplier. We improve the service regularly and may change or retire features. If we remove something you rely on, we'll give you reasonable notice.
8. Liability
We provide the service with reasonable care and skill. Nothing in these terms limits liability that can't be limited by law. Otherwise, we're not liable for indirect losses (such as lost profit or goodwill), and our total liability in any 12 months is limited to the amount your club paid us in that period.
9. Ending the agreement
You can cancel at any time (section 4). We can end the agreement with 30 days' notice, or straight away if you seriously break these terms or don't pay. Sections 5 and 8 continue after it ends.
10. Changes to these terms
We may update these terms. If a change matters, we'll tell your club's administrators by email at least 30 days before it takes effect. Continuing to use the service after that means you accept the new terms.
11. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
